Using Data Upload tool

How to make your dataset and use the data upload tool.

The data upload tool is specifically designed for surveys managed by Edurio and is not suitable for surveys launched independently using our self-serve functionality.

To get started with the data upload tool, you’ll need to upload an Excel file containing respondent information. To make the data gathering process as smooth as possible, we provide a template that you can customise, along with an article that has tips on populating the template. The respondent properties, such as gender or SEN status, will help you filter responses when analysing survey results. Each respondent should be listed in a separate row to ensure accuracy.

As soon as you upload your file, the tool will automatically check for any errors or inconsistencies. If any issues are found, you’ll need to correct them in the Excel file and reupload it. This ensures that your data is accurate before submission. Once everything is in order, submit the dataset, and our team will take care of the next steps for you!

Use the provided template and add any additional columns that you'd like. You'll be able to use these properties as filters when analysing the survey results. List each respondent in a separate row. Read all of our tips on gathering respondent data here:

Uploading, reviewing and submitting your dataset

Step 1: Upload the dataset

  1. Drag XLS/XLSX file in the designated area or click Browse
  2. Click Continue
  3. Select upload type - Pupil or Staff data
  4. Choose the correct sheet
    • Important: The system will only import one sheet. If your file has multiple sheets with respondent data, move all data into a single sheet and reupload the dataset before moving to the next step.
  5. Click Continue

Step 2: Map categories

  1. Match each respondent property in your file to the relevant Edurio category
    • Make sure all mandatory categories are included in your dataset before proceeding.

Step 3: Review errors, warnings and filters

  1. Correct errors in the original file
    • Download either the original file with errors marked or a separate list of errors.
    • You must correct all errors before proceeding.
  2. Review warnings and their impact the data
    • Check whether any warnings require changes.
    • Update the data if needed.
  3. Check if all filter properties are correct
    • Ensure all filter properties are correct.
    • Make any necessary corrections.
  4. Reupload the file if changes are made
    • If you amend the file, upload the updated version. This will take you back to Step 1.
  5. Proceed to the final step
    • Continue once there are no errors and everything is as intended.

Step 4: Submit the dataset

  1. Review the final data statistics (number of schools and respondents, number of respondent properties and warnings)
  2. Click Submit
  3. Inform your survey specialist that you've uploaded the dataset and Edurio team will take care of the next steps for you!
