Gathering data for staff account-based survey - the do's and don'ts

Tips on gathering staff data for an email based survey.

Mandatory respondent properties

In order for us to create respondent accounts for staff, we will always need this information for each staff member - schoolnamelast name, email address.

Use full school names

Use full school names.

If you're a trust running a staff survey, include your Central Team as a suborganisation too.

Fill all cells

Make sure you have all cells filled, especially the school names! If there will be an empty cell, we won't be able to import the particular respondent or will have to use Not known.

Use work email addresses

We suggest using staff member work email addresses as that way you'll be able to whitelist our domain which helps to make sure the survey lands in staff member inboxes safely.

Review duplicates

The tool will flag respondents with duplicate email addresses. Please review and remove duplicates.

If a staff member works in multiple locations, we recommend keeping a single entry for their main role to avoid them having to complete the survey twice. For special cases, please consult your survey specialist.

Make sure everybody who is on the list should be there 

Make sure your dataset doesn't include leavers. Once the survey will be launched, we won't be able to remove respondents so the response rate on the platform will have small discrepancies.
